About the Arts Internship Program

The Arts Internship Program is a seven-week summer program for high school students in Boston. Working in close partnership with organizations throughout the city, students will work as interns at arts and cultural institutions and attend program cohort days dedicated to college and career readiness, cultural experiences, field trips, and college visits. 

Position Summary

EdVestors seeks a seasonal Program Assistant to support the day-to-day administrative responsibilities of its summer Boston Arts Internship (BAI) Program. The Program Assistant will work alongside the BAI direct service team and support EdVestors’ external program partners as needed. The Program Assistant will report directly to EdVestors’ Manager of Career Pathways and Equity and work closely with other staff.

The Program Assistant will work part-time (approximately 10-20 hours per week) from April through May, and full-time (approximately 40 hours per week) from June through August. The Program Assistant may work in a hybrid structure from April-May in accordance with our office policy. They must be available to work in-person a minimum of 4 days a week plus in-person attendance at program staff meetings from June-August.

Required in-person events include: BAI Staff Orientation (June 1-12), BAI Staff Meetings (Wednesdays weekly from June 8-August 12), BAI Program Orientation (June 29-July 3), Cohort Days (Mondays and Tuesdays from July 6-August 4), and Final Celebration (August 10 and 11). Please note that all dates are subject to change. These events, inclusive of program cohort days, will take place at locations throughout the City of Boston, and at times multiple locations in one day, which will require travel on public transportation and walking. 

Responsibilities

- Communicate regularly with BAI staff regarding the administration and implementation of the program. 

- Provide logistical and administrative support for intern experiences including planning meetings, intern attendance, note taking, email and phone communication, purchasing supplies and catering, tracking purchases and receipts, confirming workshops and guest speakers, confirming spaces, and other tasks as assigned. 

- Assist BAI staff with planning and production of program orientation and end-of-program events.

- Coordinate program and intern project documentation to support evaluation efforts and showcase program impact. 

- Attend and participate in external informational events, such as worksite check-ins and family info sessions.

- Send emails on behalf of other staff members to interns and internship worksite supervisors, monitoring and responding to emails as appropriate, sharing them with other staff when needed and in a timely manner. 

- Coordinate intern communications related to onboarding, including receiving, documenting, and tracking required onboarding documents from interns. 

- Assist with supervision of up to 48 high school interns during program cohort days, including acting as a substitute when needed.

- Accompany interns (in small groups aligned to city and local health and safety guidelines) on field trips and site visits to local colleges and cultural institutions as needed.  

- Build meaningful relationships with interns, providing support when needed, tracking issues as they arise, and discerning when to seek support from senior staff members.

- Work collaboratively with BAI staff to ensure interns have meaningful and productive workplace experiences. 

- Provide technology assistance including management of tech equipment inventory and loans (to interns); transporting tech equipment to and from the EdVestors office for BAI onsite programming; setting up laptops, projectors, and portable speakers and problem solving tech issues as they arise. 

- Write and curate one social media post per week for the BAI Instagram account.

- Post-program duties include: organizing digital materials, ensuring that all program materials are accounted for and accessible to all EdVestors staff; participating in post-program debrief activities; and supervising inventory and organization of physical program materials. 

- Other program tasks and projects as needed/assigned. 

Qualifications 

- Strong interest in the arts and/or youth work. 

- Self-motivated, demonstrating frequent initiative, and offering new and innovative ideas to organizing, strategizing, and problem solving. 

- Outstanding organizational skills, with a high level of attention to detail and the ability to see projects through to completion. 

- Excellent oral and written communication skills. 

- Strong interpersonal skills and presentation skills; possessing the ability to communicate effectively with various constituents (such as interns, internship worksite supervisors, partners, and colleagues). 

- Ability to work collaboratively in a fast-paced environment with a positive attitude.

- Strong computer skills with proficiency with Google and Microsoft Office Suite, especially Word, Excel, and Zoom video conferencing. Familiarity with Teams and GroupMe is a plus. 

- Experience working with and mentoring teens, preferably in youth career development and employment. Ability to engage youth in a meaningful way and to connect with youth of diverse abilities, cultural backgrounds, gender expressions, and other forms of identity, fostering a safe physical and socio-emotional environment for youth. 

- Experience in Boston Public Schools or experience serving BPS youth is preferred but not required.

- Availability to work mid-April through the end of August, inclusive of in-person requirements. 

- Previous BAI Arts Internship alums are encouraged to apply. 

Physical Requirements

- Standing and walking for a long period of time during program days or other event days.

- Ability to deal with various temperatures in/outdoors throughout the summer, including cold air conditioning and walking and standing in heat and high temperatures.

- Carrying and lifting 10-20lbs; ability to assist in room setup, which may include moving tables or chairs; and carrying/opening boxes and organizing physical program materials.  

Schedule and Compensation 

- Part-time, 10-20 hours per week, April through May (flexible based on availability)

- Full-time, 40 hours per week, Monday-Friday, June through August. 

- This is a temporary, paid position with an expected salary range of $25-$35 per hour.
